Contract Text - Sample

Dear <Client Name>

We are pleased to confirm our availability for your function on <Date of Event>, details for which are summarised below. 

Date:  <Date of Event>.

Venue: <Venue Info>.

Event:  <Event Type>.

Music type: Dance/Funk Band from 80s to present day etc.

Our dress: Regular band attire (smart/casual).

Report time: Approx 5pm (we need minimum 2 hours for setting up).

Playing times: 2x 1 hour sets (with break), as required between 9:00pm and midnight. Background music via iPod is available before,  between, and after our live sets. All music off by 00:30am.

Agreed fee:  <££££>.

Payment by: <Payment method - normally BACS>.

Rider Text - Sample

Please note the following items form an integral part of the attached Booking Confirmation, and we’d appreciate if you could ensure they are adhered to as closely as possible, thank you.

1) Electrical Power Supply

The band will require a safe electrical power supply (13A/240VAC, minimum 2 sockets) within 5 metres of the stage or performance area.

Special Note: the band cannot perform if connected to a sound-level restriction circuit (or monitored via equivalent mobile devices). Since the full fee is still payable under these circumstances, we strongly advise you confirm with your chosen venue that no such restriction will be imposed, thank you.

2) Performance Area

The band will require a level stage or performance area, minimum dimensions 5m x 3m.

3) PA Spec

The band will provide their own PA system and performance lighting, suitable for small or medium sized events (approx 200 guests max). Should additional PA be required this will be at a surcharge to the fee quoted on the Booking Confirmation, and will require a minimum 2 weeks’ notice to procure.

4) Changing Area

Please provide the band with a suitable room/changing area for use when not performing (for the avoidance of doubt, toilets are not a suitable changing area).

5) Safety/Security

The band expects and requires the stage or performance area to be a safe environment for them and their instruments, and free from intrusion by guests for the duration of the event.

6) Hospitality

Please provide the band with a free supply of soft drinks for the duration of the event (alcohol/food is always welcome but not mandatory) - thank you.

7) Payment Schedule

The fee for this engagement is <££££> payable as follows:

i) A 25% booking deposit <£££> is required to secure the band for your date/event. Please remit this by BACS (account details on request) when returning your signed paperwork, thank you.

ii) The balance of <££££> should be remitted via BACS to clear by <1 week before gig>, thank you.

8) Cancellation

Should you cancel your event (or this booking), the following cancellation charges would apply:

i) Up to 120 days prior to the event: the value of your booking deposit, ie <£££>.

ii) Between 119 and 60 days prior to the event: 50% of gig fee, ie <£££>.

iii) Between 59 and 30 days prior to the event: 75% of gig fee, ie <££££>.

iv) Between 29 and 0 days prior to the event: 100% of gig fee, ie <££££>.   Please ensure you are comfortable with the above schedule, and sign the paperwork only if you agree to these terms, thank you.

9) Liability for Non-Appearance due to Illness, Accident or Force Majeure

Notwithstanding the band makes every effort to appear as described herein (and has not missed a single engagement to date), should illness, accident or Force Majeure prevent their appearance, the band’s liability shall be limited to the return of any monies paid (to be effected within 7 days of the event). Furthermore, the client agrees to indemnify the band from any claim for consequential loss, howsoever caused or suffered.

10) For Your Peace of Mind

Flashback is a professional band, whose members are affiliated to the MU (Musicians’ Union). We carry Public Liability Insurance and PAT-tested equipment.
